5. Background information
Every member of the crisis-communication team must be prepared for
questions from the media or other groups. Ensure that every member
has sufficient information about the company:
Information on the company: size, products, sector, history, figures,
number of employees, etc.
Production processes and/or methods.
Detailed information on the products and services.
Chemicals and/or other materials: which ones? What are they used
for? Why are they necessary?
Safety and quality: point out the good reputation of the company.
What investments have been made? What quality controls are in
place?
Location: history of the company/factory/organization.
All other information that can be useful for the company.
Ensure that the information is available in clear language (avoid jargon
and explain abbreviations) and structured in such a way that a busy
journalist can understand the most important information easily and
can process it properly.
Also give the journalists graphics, organizational diagrams, photo-
graphs, film and video material, PowerPoint presentations and similar
material that they can use to illustrate their broadcast, article or report.
That way, your own material gets published.
