computer for the hyperlink to function properly. (In the case of Microsoft Word and
PowerPoint Office, however, you can download viewers from the Web that open and
print native Word and PowerPoint documents, even if you don’t have those programs
installed.)

Exercise 21-2: Adding Hyperlinks to Other Documents
Open the workbook Exercise21-2.xls in your Chapter 21 folder in the My Practice
Spreadsheets folder on your hard disk or in the Excel Workbook folder on the work-
book CD-ROM. This workbook contains a copy of the Home Sales 2006 worksheet. In
this exercise, you’ll add a hyperlink to this worksheet that opens a copy of the 2006
Calendar workbook (complete with hyperlinks from the mini-calendars to the individ-
ual calendar sheets) that is also saved in your Chapter 21 folder:
1. Choose the Insert➪Picture➪From File menu command to open the Insert Picture
dialog box.
2. Click the My Documents button in the pane on the left and then open the
Chapter 21 folder in the Insert Figure dialog box by first opening the My Practice
Spreadsheets folder.
3. Click the Calendar.jpg file icon in the Chapter 21 folder and then select the Insert
button.
4. Reposition and resize the calendar graphic object so that it covers the cell range
E3:E7 in the Homes Sales 2006 worksheet (your sizing and positioning can be
approximate).
5. Right-click the calendar graphic object and then select Hyperlink on its shortcut
menu to open the Insert Hyperlink dialog box.
6. While the Existing File or Web Page button is selected in the Link To pane on the
left and the Current Folder button selected under Look In, select the workbook
file 2006 Calendar with links.xls in the central list box.
The 2006 Calendar with links.xls workbook is the one you want opened whenever
you click the link you’re in the process of attaching to the calendar graphic.
7. Select the ScreenTip button to open the Set Hyperlink ScreenTip dialog box.
8. Type Open 2006 Calendar workbook in the ScreenTip Text box before you
select OK.
The text you add to this ScreenTip appears beneath the mouse pointer whenever
you position it somewhere on the calendar graphic object, letting the user know
the destination of the hyperlink you’ve attached to it.
9. Select the OK button in the Insert Hyperlink dialog box to close it and return to
the Exercise21-1.xls workbook.
10. Select cell A1 in the Home Sales 2006 worksheet to deselect the calendar graphic
object and then save your changes to the workbook with the filename
Solved21-2.xls in your Chapter 21 folder.
11. Position the mouse pointer over the calendar graphic object now covering the
cell range E3:E7 of the Home Sales 2006 worksheet.
Note the ScreenTip, “Open 2006 Calendar workbook,” that appears beneath the
hand pointer.
12. Click the calendar graphic object to open the 2006 Calendar with links.xls work-
book file.
